Overview
Osprey Submittal LLC (“Osprey,” “we,” “us”) operates the Osprey Submittal application, which extracts submittal registers from construction project manuals. This Privacy Policy explains what we collect, how we use it, and the choices you have. By using the service, you agree to this policy.
Information we collect
- Account information. Your name, email address, and password when you create an account.
- Documents you upload. The project manuals and specification PDFs you submit for processing, and the registers Osprey generates from them.
- Usage data. Basic logs about how you use the service — pages viewed, actions taken, and technical details such as browser type and IP address.
- Payment information. Billing is handled by Stripe. We receive your plan, billing status, and the last four digits of your card; we never see or store full card numbers.
How we use information
We use the information to:
- provide, operate, and improve the service;
- process your documents and generate submittal registers;
- manage your account, subscription, and support requests;
- secure the service and prevent abuse;
- comply with our legal obligations.
We do not sell your personal information, and we do not use your uploaded documents to train public AI models.
Service providers
We share information only with vendors that help us run the service, under contracts that limit their use of it:
- Cloud hosting for the application and document storage.
- Stripe for payment processing.
- AI and document-processing providers that parse PDFs and extract submittal data on our behalf.
These providers process data only to deliver their service to us.
Data retention
We keep your account information for as long as your account is active. Uploaded documents and generated registers are retained until you delete them or close your account, after which we delete or anonymize them within a reasonable period, except where the law requires longer retention.
Security
We use industry-standard safeguards — encryption in transit, access controls, and least-privilege practices — to protect your data. No system is perfectly secure, so we cannot guarantee absolute security.
Your rights and choices
Depending on where you live, you may have the right to access, correct, export, or delete your personal information. You can update most details in your account settings or contact us to make a request. You may close your account at any time.
Cookies
We use a small number of cookies that are necessary to keep you signed in and to remember your preferences. We do not use advertising cookies.
Children’s privacy
The service is intended for business use and is not directed to anyone under 18. We do not knowingly collect information from children.
International users
We are based in the United States and process data there. If you use the service from outside the U.S., you consent to that transfer.
Changes to this policy
We may update this policy from time to time. When we do, we will revise the “Last updated” date above and, for material changes, notify you in the app or by email.
